PAC Meeting Notes Sept 18, 2022

  • Principal’s Report
    • School pictures went well…please give any feedback to Mrs. Lipsey 
    • The first PBS assembly was held since before COVID the Tuesday after Labor Day…the next one will take place this coming Friday, September 23
    • We decided to change meeting time to 5:30 and location change back to the elementary school in the staff lounge to allow for administration to attend longer
  • Treasurer’s Report- submitted and updated after meeting
    • Amount in account $25,304.78
    • Amount left to spend after budget items for the year $2,824.11
  • Artist in Residence (March 6-10)
    • Jennifer Stevens: Oneida Legends Through Pottery
      • Grades K-5 will create and design a pinch pot using basic methods of shaping and stamping
      • Once we get closer we will plan volunteers, lunches
  • Family Nights (Dance, Fun Night) what to have, dates?
    • Skate City: October 20…cost $8.00 per person. Melissa will set up
    • School Dance: February 10 Dj contacted, rooms reserved
    • Freedom Family Fun Night: May 17 Dj contacted, rooms reserved
    • Movie Night…Sarah will look into Field of Scenes (will they host FES??)
    • Funset Night…looking into a winter date–this has to be a Monday-Thursday night
  • Fundraisers to Discuss–What to do now, maybe discuss more at next meeting
    • Decals…currently selling. Possibly sell at conferences?
    • Bingo Night…Home Tavern in August (there was not a large turn out)
    • Cookie Dough…begin ASAP because other organizations have already started selling. Stephanie will take over coordination of this
      • In the past there have been pick up problems due to the frozen items thawing
        • Could Mrs. Lipsey send a Robo Call the day of pick up as a reminder?
        • Make sure to add pick up date to fliers
    • Spirit Wear…decided to hold. In the past we have gone through Shamrock Graphics. Melissa will contact them. Kari is a contact for Branding180. Both will discuss prices, timelines, etc and we will discuss at our Oct. meeting 
    • Restaurant Nights…Culvers is no longer doing Culver’s Nights, but we can sell coupons for ice cream (we will discuss when we will do this at another meeting)
    • Other Ideas
  • Teacher Reimbursements
    • All teaching staff- classroom, specials, specialists and special education are given $125 to use in the classroom, $250 if they are new or have changed grades. We currently have 57 total- 46 current, 10 new and 1 changed
    • 2 staff already submitted receipts
  • Conferences
    • Book Fair Volunteers…the book fair will be back during conferences, we will need a volunteer to help set up the book fair and possibly take down
    • Staff Meals…October 18th (Buzz’s) Melissa will contact Buzz’s

                  …October 19th (Walking Tacos) Sign up will be created

We will be reaching out to Erbert and Gerbert’s and Home Tavern for future staff meals

  • Student Appreciation
    • Looking into either water bottles or color changing cups
    • Since we are back to having more normal activities, will return to past appreciations of 2 days per year
  • Shout Outs
    • There will be drawings every quarter for $25 gift cards (the amount of gift cards given away will depend on the number of shout out submissions we received and the funds PAC has available) Sarah will coordinate. 
  • Officer Roles
    • President  and Treasurer will no longer be a part of PAC next year we will need someone to take over their positions
    • Vice President is also open to anyone who would like to step up into a leadership role

  • Sign Up Volunteers
    • Watch for Sign up genius information to needs
  • Items to consider for upcoming year/unfinished from last year
    • John Siegers (former custodian) retired in the summer…we will create a Wordle (each class will be asked to provide 3 words to describe Mr. Siegers)
  • New Business/Teacher Request
    • Fill the lounge…each month an email with a sign up genius link will be sent to a certain grade level for parents/guardians to sign up and bring in snacks for the lounge

PAC Meeting Notes April 11, 2022 6:00 PM

Principal’s Report

  • FORWARD testing is about ⅔ of the way through 5th grade is done 3rd will finish this week and 4th will begin
  • Penny war raised over $4,000!!! This is going to the Kevin Kisdolf scholarship
  • 3-5 concert was very well received
  • Upcoming 1-2 grade concert
  • ABC countdown will begin at the end of the month
  • Easter break is coming soon

Treasure’s Report

  • Just under $21,000 to spend

Freedom Family Fun Night

  • Need to purchase items
    • Face paint supplies
    • wipes
  • Food Truck Vouchers…will be handed out the night of the event
  • No pie in the face
  • Food trucks will be reimbursed the night of (hand in tickets)
  • Volunteers (High School volunteers)
    • Face painting
    • Obstacle course
    • hand out tickets (staff)
    • Tattoos
  • We will need garbage cans (Erin will meet with Tammy and John)
  • Other schools can show up if they want, but we will not send out invitations to other schools
  • School will be open for bathrooms

Staff Appreciation week

  • We are doing shamrocks with nice sayings again for staff (they will be hung in the Staff Lounge)…PAC will be hanging them April 29 for Monday
  • Plants will be given to staff from GreenHandels (Tuesday)
  • Mexican will be catered on Cinco de Mayo (Thursday)
    • Ground beef and chicken
    • Hard shells and soft shells 
    • Desserts will be brought in by parent volunteers
    • **lunches start at 10:30–needs to be ready by this time
  • Donuts will be brought in at 7:30 for Friday 
  • (87 staff–including support staff…find out from Judy # of staff that will be there Friday appox. 60)

Administration Professional Day (April 27)

  • Hanging baskets and lunch will be provided

How to spend funds

  • Teachers were surveyed asking about items wished for. We decided to hold off on purchases until after Fun Night to assure we don’t spend down too much
  • Flexible seating may be looked at for next year (begin rotation again)
  • Seeds for Ms Wall will be purchased now due to timing of need
  • Gym needs are approved at the this time as well because we have not given extra funds to gym when we were doing flexible seating

PAC Meeting Agenda for Monday, March 21, 2022 6:00 PM

The April meeting falls on a day off of school.

  • We will hold the meeting on another date (April 11)

Principal’s report

  • Penny war will take place the first week of April
  • April 9th is the Blizzard’s game
  • FORWARD testing starts tomorrow with 5th grade
  • Book and ball drive has had a successful start (258 books!)
  • Grades 3-5 music concert is on March 28 at the Field House

Treasurer’s report

  • Current balance $33,485.66
  • Left to send $21,702

Freedom Family Fun Night

  • E-mails are being sent to Art club, NHS to ask for student volunteers. May seek more as needed
  • We have tattoos
  • We need to purchase face paint supplies
  • We need to purchase sidewalk chalk
  • TJ the DJ is booked ($250) for the evening (he will need to be located within 100 feet of power)
  • Obstacle course and generator are being rented ($389–obstacle course $89–generator) we will have one also from the YMCA
  • There will not be a dunk tank–there was discussion of other options we will be doing a pie in the face or pie throwing (the money raised will go towards staff meal in May/June)
  • Mischief and Magic (balloon animals) is booked ($100 an hour per employee working–they can average about 25 per hour)…we will book 3 workers for 3 hours each
  • Food trucks
    • Gourmet Corn Yucatan
    • LilJuicy Kitchen
    • Ice Truck **this truck has a $100 minimum 
    • Ice Clouds
    • Two Guernsey Girls
    • We decided to give $5 coupons to students and staff to use at the food cards

    • Thursday…Cinco de Mayo lunch (catered in along with a signup genius for donations)
    • Green Handel’s potted flower (one day this week)

  • April students will get a frisbee
  • May students will get a popsicle at Field Day
  • Possibly supporting the ABC countdown to summer

Bake Off

  • Pictures are due March 21 (today)
  • So far 40 entries
  • There will be 3 winners in each category (creativity, theme based, and neatness) and one overall winner
  • Winners will receive a family fun basket ($20-$25 per prize)
  • Each participant will receive a participation book 
  • Judges will receive a thank you gift for taking their time (an email to Mrs. Lipsey will be sent tonight to ask about judges

Principal’s Report

  • Ball/Book Drive Newsletter has this information as well… looking to replace classroom libraries (Amazon wish list with classroom teacher’s name) families may go to purchase books for their classroom teachers. Email will be sent to families
  • FORWARD exam in March (trying to keep the time frame short)
  • 3rd quarter ending at the end of March
  • Mr. Popper’s Penguins will have a calendar in newsletter for reading schedule
  • Dash for cash or penny war to help replace funds for the Kilstofte scholarship
  • March 13 Herd Game night

Treasurer Report

  • Current Balance…$37,165.88 (minus expense for conference meal and some profit from spirit wear) *After meeting information: Conference meal was $361 Total profit from spirit wear was $5455.78
  • Spendable amount…$22,250.94

Community Fundraiser Nights

  • $500 made from Home Tavern. This included raffles from that night
  • Buzz’s 3 nights so far…$200, $150 and $160

Fun Night (Wednesday, May 18…4-7)

  • This is the replacement for the dance
  • Mrs. Lipsey will look into liability with inflatables
  • We are looking into food trucks-different members will look into options
  • We are looking for activities-DJ, balloon, chalk, face painting or tattoos
  • No rain date…will move inside if rain is an issue
  • We will ask high school groups and parents to volunteer

How to Spend Funds

  • K-cups and creamer for staff lounge
  • We will be giving students a lei to celebrate St. Patrick’s Day
  • Mrs. Lipsey brought suggestions from staff:

5th grade flexible seating as they were missed before- possibly more for other classes

Ice machine- After discussion, new refrigerator with ice maker may be better option. Mrs. Lipsey will talk to John

Charging stations- Mrs. Lipsey will look into costs/needs

Other items she will look into-staff may be able to use funds from PAC or district

Teacher/Staff Reimbursement and Requests

  • Ms. Vanderloop came to the meeting to request item for the 3-5 grade concert. PAC approved the purchases. She will buy and PAC will reimburse. We anticipate she may need things for the 1-2 grade concert as well

  • Sign Country can make window stickers. We will plan for fall (sell at open house)
